Facility Policy — Responsibilities of the Renting Party

The following policy outlines the responsibilities of any club, organization, or group (“Renting Party”) that rents and uses Legacy26 Lab (“Facility”) for sports training, practices, or events. By renting the Facility, the Renting Club agrees to comply with these policies in full.​

1. Booking & Payment

• All rentals must be scheduled and paid for in advance.

• No refunds will be issued for cancellations made less than 5 days before the event, unless otherwise agreed in writing.

2. Supervision & Conduct

• The Renting Party is responsible for ensuring qualified coaches, supervisors, or at least one adult (age 21 or older) are present at all times during the rental period.

• Players, coaches, and spectators must conduct themselves in a respectful and sportsmanlike manner.

• No abusive language, harassment, or dangerous behavior will be tolerated.

• The Renting Party is responsible for the behavior and safety of all participants and attendees.

3. Facility Care & Clean-Up

• The Facility must be left in the same condition it was provided.

• All trash must be collected and placed in designated receptacles.

• No food, gum, or drinks (except water) are allowed on playing surfaces unless approved in advance.

• Any damage to equipment, turf, flooring, or property caused by the Renting Party or its participants will be billed to the Renting Party for repair or replacement.

4. Safety & Liability

• The Renting Party is responsible for ensuring all participants have appropriate protective gear for their sport or event.

• The Renting Party must carry its own liability insurance.

• The Renting Party assumes all risks associated with the use of the Facility and releases Legacy26 Labs, its owners, and staff from any claims or liability.

• The Renting Party must immediately report any injury, accident, or unsafe condition to Facility staff.

5. Use Restrictions

• The Renting Party may use only the areas of the Facility specified in the rental agreement.

• No subleasing or transferring of the rental to another party is allowed.

• No smoking, alcohol, or illegal substances are permitted on the premises.

• The use of equipment or services not included in the rental agreement requires prior approval.

6. Timing

• The Renting Party must arrive and vacate within the scheduled rental period.

• Set-up and tear-down time must be included in the rental period unless otherwise arranged.

• Overages will be billed at the hourly rate.

7. Enforcement

Failure to comply with these responsibilities may result in:

• Immediate termination of the rental without refund

• Additional cleaning, repair, or overtime charges

• Loss of future rental privileges

I agree to comply with all rules, responsibilities, and guidelines outlined in the policy while renting and using the facility. I understand that failure to follow the policy may result in penalties, additional fees, or termination of facility use privileges.
